Privacy Policy
Ocular keeps a written record of your business calls. That means we handle material that is sensitive by nature, and this policy says plainly what we collect, why, where it goes, and what control you keep. We handle personal information in line with the Australian Privacy Principles under the Privacy Act 1988 (Cth).
What we collect
- Account details — your name, email address, firm name, and the mobile number you forward from.
- Calls — audio recordings of calls made or received on your Ocular number, the transcripts we produce from them, and the derived material the product builds: summaries, quoted moments, notes, digests, and extracted facts.
- Connected email — if you choose to connect a mailbox, the messages needed to place correspondence on the record.
- Billing — your plan, invoices, and usage. Card details go directly to Stripe and never touch our servers.
- Product telemetry — errors and basic usage events that keep the service reliable.
Call recording and consent
You are responsible for recording lawfully. Australian law on recording calls varies by state and includes the Telecommunications (Interception and Access) Act 1979 (Cth) and state surveillance-devices legislation. In most Australian jurisdictions you must have the consent of the parties to record a private conversation. Ocular records the calls you direct it to record; obtaining any consent the law requires from your callers is your obligation as the account holder.
How we use it
Only to run the product: producing your transcripts and write-ups, answering your questions over your own record, generating your digests, metering usage for billing, and keeping the service secure. We do not sell your data, we do not advertise against it, and we do not use your calls to train our own or anyone else's general-purpose AI models.
Who processes it for us
- Telnyx — carries calls and recordings (telephony infrastructure).
- OpenAI — transcription and the written analysis of your calls, under API terms that exclude training on your data.
- Stripe — payments and subscription management.
- Railway — application hosting and databases.
- Sentry — error monitoring.
Some of these providers process data outside Australia (principally the United States). We share only what each needs to do its job.
Your record is yours
- Export, always — your complete record is downloadable as structured data at any time, regardless of billing state.
- Correction — every transcript line can be corrected in the product, and corrections flow through to every derived summary.
- Deletion — deleting a call erases its recording, transcript, and every derived artefact. Closing your account deletes your record, subject to short backup-cycle and legal retention windows.
- Access — you can ask us what we hold about you and ask us to correct it: admin@ocular.solutions.
Retention and security
Recordings, transcripts, and write-ups are kept while your account is open so the record can compound; you can strike anything from it at any time. Data is encrypted in transit, access is limited to your organisation's authenticated users, and administrative access by us is limited to what operating the service requires.

Changes
If this policy changes materially, we will tell account holders by email or in the product before the change takes effect.
